Procedures - one of the most important features in RxWorks.

This feature has been designed to support your Standards of Care. You can create comprehensive veterinarian and species-specific templates for all of your everyday treatments, services and surgical procedures – neuterings, health checks, farm visits, dentals, anaesthesia etc. Procedure templates store each chargeable item you have defined.

Workflow and Clipboards Minimize

Clipboards are an important facility in RxWorks that centrally store many kinds of information and make it available to all network users.

One of the main roles for Clipboards is managing and scheduling appointments, operations and visits.  All such diaries and schedules can be customized to a format that is most appropriate. These appointments are the starting point of a unique workflow system built into Rxworks.

Clipboards can be created for many different information and scheduling tasks – recalls, follow-ups, equipment loans, puppy parties, nurse clinics, waiting room lists, lost & found, - you choose. 

With a comprehensive set of Clipboards you can see at a glance all your clinic’s appointments, the Clients and Patients in each area of the clinic, follow-up calls you need to make and the messages left for you by reception - all without leaving your workstation.

In the screen shot above we have made Clipboards for the following patient activities:

  • Waiting room
  • In consult
  • Waiting to pay
  • Follow up

When the patient is checked in at the front desk, their record is automatically moved to the waiting room. So at a glance the practice manager can see how long everybody has been waiting. Anyone who has been waiting too long will appreciate a quick apology for the delay and the reassurance that it will not be much longer.

In this example, we only have one consult room set up, but you could easily have a clipboard for several consult rooms. Alternatively the consult room number can be designated when the patient is being moved from the waiting room and the clipboard functions will quickly identify where each patient is, how long they have been waiting and who they are waiting for. In this link we have set up a clipboard for an equine clinic  using a slightly different configuration.

A single click on the clipboard entry will take you directly to the patient record. If there are tests to be run or other work to be done, these can be transferred to the appropriate clipboard to be dealt with in an orderly manner without having people running all over the clinic.

And when it is all done, the patient's record is automatically transferred to the 'waiting to pay' clipboard. So your front desk personnel know that all the work has been done and billed, so they can safely collect payment from the client and conduct your clinic's checkout procedure.

If you run a large annimal clinic here are some examples of useful Clipboards.

  • Farm Visit Appointment Book:  Allows you to track who is where and doing what. 
  • Vets or Staff Roster: Create an onscreen roster so all staff can see which vets are on duty, where they are currently, and when they will be back in the practice.
  • 'Jobs to be Invoiced' List:  When the vet has finished the visit (and presumably been in contact!) you can transfer the call to a list such as "Jobs to be Invoiced". Better still Mobile Veterinarian means that the vet can enter the visit details himself.
  • ‘Medications for Collection' List:  Why not have a clipboard for "Medications for Collection" so pre-prepared orders are always entered into client records  (now a statutory requirement in some areas - Batch Traceability European Legislation).
  • 'Jobs To Be Done When Out' List:  Clients frequently call and simply want a job done when you are in their area. Why not have a list that allows you to record when they rang, what they required, why etc.
  • 'Promise to Pay' List:  Can be used to track those slow paying clients that keep promising 'the cheque is in the mail!'  The Promise to Pay List is a great way to monitor debt.
