Shared ownership Minimize

In the equine industry, horses are often owned by several different clients that all need to be billed for their share of the veterinary work. And it is no good sending these bills to the address where the horse is located as the owners are normally not there.

The ownership button in the bottom right of the patient screen allows you to define who the owners of the horse are and their different ownership percentages. Rxworks will automatically create the bills for each owner according to their ownership share saving you hours of work. On a change of ownership, any outstanding liability of the old owners remains with those clients and any new charges are allocated to the new ownership from the date the change took place.

The location button on the patient screen allows you to specify the location of the patient with directions and how to get there for the ambulatory veterinarian.

RxWorks Mobile Veterinarian allows the busy large animal or equine veterinarian to access client / patient records, enter medical notes, produce invoices all from on-site or in the car.  Read how one busy equine veterinarian, Andrew Whitting, uses this invalubale feature in Victoria.

The temptation with all IT systems is to think that the technology will run itself. While this is true to an extent, to get the most out of RxWorks you need to understand it. Mark Lucey, one of five partners in a thriving ten-vet equine practice in the West of England, and Robert Magnus of Wisconsin Equine Clinic, Wisconsin, US, are both big believers in the adage that you get out of a system what you put into it. In these articles they examine their individual approaches to the purchase of a new practice management system.


Large Animal Minimize

Traditionally most veterinary software packages have been developed with Small Animal clinics in mind.  By adding a monthly accounts capability they have claimed that it is a mixed or farm animal system. This is not the case with RxWorks! The RxWorks Solution is a truly mixed practice software package initially developed in co-operation with a fully operational mixed species veterinary clinic.

 

Here are some of the functions that we believe are effective in running a Large Animal practice:

  • Customizable Clipboards: a particularly valuable tool in large animal/mixed practices which allows monitoring of veterinarians, clients, patients and general inter-practice communications via staff messaging boards. Some examples of their use are:

Farm Visit Appointment Book:  fully customizable clipboards that allow you to design a system that allows for tracking who is where and doing what!  Implement color coding to define zones or other locations where the veterinarian working today.  Include driving instructions.

Vets or Staff Roster: Create an onscreen roster so all staff can see which veterinarians are on duty, where they are currently and when they will be back in the practice.

'Jobs to be Invoiced' List:  When the veterinarian has finished the visit. you can transfer the appointment to a list such as "Jobs to be Invoiced". Alternatively RxWorks Mobile Veterinarian means that the veterinarian can enter the visit details while in the field or car and synchronize the data when he/she gets home (via ADSL) or back in the clinic.

‘Medications for Collection' List:  Why not have a clipboard for "Medications for Collection" so pre-prepared orders are always entered into client records (now a statutory requirement in some areas - Batch Traceability European Legislation).

'Jobs to be Done When Out' List:  Clients frequently call and simply want a job done when you are in their area. Why not have a list that allows you to record when they rang, what they required, why etc.

'Promise to Pay' List:  Can be used to track those slow paying clients that keep promising 'the cheque is in the mail!'  The Promise to Pay List is a great way to monitor payment commitments.

  • Species Specific Design for Patient Screens:  RxWorks allows each practice to design their screens to show information that’s relevant for each species that are treated. This means that you will see what you want to see! For example you may decide that when treating a particular species you may wish to see relevant information like:

Cattle - Record breed, herd numbers, date of last herd health, or whatever you feel is important.

 

Horses - Sire, Dam, Date of Last Dental, Follicle Test or Pregnancy Test,  Date of Last Drench - again you choose what is important in your practice.  Record information such as worming type; date last purchased; vaccinations used e.g. Leptospirosis allowing you to track purchases and target mail to your farmers with L.A. Newsletters and special offers on products. Keep a history of patients or stock movements from farm to farm and display it at any time.

 

  • Account Types: Every veterinary practice treats clients slightly differently. Most practices have several different 'account types'. RxWorks is designed to cope with a variety of account styles that are appropriate to Large Animal practices. Typically Farm client account requirements are quite different from Companion Animal or individual Equine clients. Here are a few examples, all customizable for your needs: You may need different statement printouts, different overdue terms and notes, different interest or account charges or many other options:

Farm Accounts: Statement & Invoices by Transaction with net goods; GST/VAT and total balance shown as separate items. The most popular is our Summary and Invoice format that allows full itemization without sending reams of paper.

Equine Accounts: Statement & Invoices by Patient again broken down to net goods; GST & total balance. RxWorks allows several formats that are suitable for stud farms, trainers and private equine accounts. If you choose you can have a separate page per patient - a style often favored by liveries or equine stud clients.  If some our your clients have syndicated clients you can manage this with separate itemized invoices.

Bad Debt Accounts:  Most veterinarians shudder at the words 'bad debtor'. RxWorks cannot make clients pay but it certainly can make debt collection a lot easier.

Special Payment Terms:  Don't you wish you could get a computer system to automatically allow for clients that have agreed to pay off accounts without having to 'check' the accounts every month before they are sent? RxWorks allows you to set up the terms and automatically runs these terms for you.

 

  • Tracking and tracing of drugs including inventory/stock control:  With over 15 years experience in running true stock management this is a particular strength of the RxWorks Solution. In the current climate of increasing accountability for movement of medications RxWorks recognizes the need for a comprehensive stock control system, handling automatic stock order generation, goods received, back orders, physical stock takes & adjustments and stock valuations with ease. RxWorks can recognize seasonal adjustments e.g. if stocks drop below pre - specified critical levels an automatic order is generated. In the case of seasonal items such as Leptospirosis Vaccine; Ovine Clostridial Vaccines or Flukocides this can be programmed to set different stock levels for pre-determined time periods.  We provide special tools that allow easy and speedy “bulk” inventory adjustments and other changes for such events as annual stock counts. Controlled Substance Logs are maintained automatically within the system.   
  • Your Fees can be filtered by animal type / species, for example while you can set your fees as species specific, a broader filter exists to separate Small/Large/Equine fees so that while invoicing a horse, any irrelevant cattle, dog, cat medications will be filtered out.
  • Income Analysis: RxWorks can produce in excess of 129,000 variations of report, but most of the common reports are pre-defined.  All reports are exportable to Excel. You can produce full income analysis by species, veterinarian, income groups, drug category, profit centres or combinations of them all. Track professional fees against drug income, or OTC sales. Do you really know the profitability of each of your service groups? In a mixed practice, can you honestly say you can quantify your L.A./S.A. ratio and trends? You can with RxWorks.  
  • Debt Control:  Debt control is a simple and efficient system in RxWorks. It allows you to:

    1. Quickly identify the overall practice accounts receivable

    2. Identify trends in your collection effectiveness by comparison to previous periods

    3. Identify and tag which clients require more intensive account management

    4. Automatically allows you to keeps notes, dates and records of debt collection activities.

    All outstanding balances are broken down into 30, 60 and 90-day allowing aged debt control. With full receivables analysis and customizable  client notes you have superior control over outstanding debt.  
  • Marketing:  The worldwide squeeze on farming income means it is even more important to educate clients in good husbandry and disease management. Having easy access to your client data and the ability to query that data is very important.  RxWorks marketing functions allow you to extract information on your clients, their preferences, as well as statistics - such as those that have received selected services and treatments (or clients that have not received those services or treatments!).

Sydney Olympics Minimize

Back in 2000, RxWorks was chosen to manage the clinical records at the veterinary centre of the Sydney Olympics and Para Olympics equestrian events. RxWorks provided the network and software as well as a number of trainers to assist Olympic veterinarians in entering case histories into RxWorks.  All ultrasound, radiograph, endoscope and thermograph images taken during the Olympics were captured directly onto the patient files, a first for the Olympics.

Can you email clients? Minimize

Many clients find email much more timely then traditional post and certainly less frustrating then a good old game of phone tag. Many people check their email several times a day and if asked would tell you they would prefer to hear from you via email.

Can you send your clients an email?

Not if you do not know their email address. That is why RxWorks allows you to store an unlimited number of email addresses for each client and can prompt your receptionist to ask for an email address if you do not have one on file.

We also allow you to record that the client granted you permission to communicate with them via email, so that you can abide by anti-spam laws.

With RxWorks you can even send the client an SMS text message direct to their cell phone. Text them when their pet is ready to be picked up or on the pet's condition as it recovers from surgery. SMS text messages are a great way to communicate quickly with your clients while they are on the move.
