Client Address Details

Use this page to format the contact details for your clients.  You can control which fields you want to include on the client page, set initial values for those fields and set the screen names for certain fields.

The program will use selected fields  on your client screen and will not show de-selected fields will not be seen. (Release Version 3.4)

Company (Company Name)

If you select Company Name, it becomes an available field on the client screen.

A Company Name field appears on the client screen and the surname field becomes the surname of a contact at the company.  The program will address invoices and statements will be to the company name.  You can search for this client by company name or (contact) surname.

Phone Name

Initial Value is the default phone number to appear on the client screen. Use the Setup button  to add, edit or delete Phone types (home, work, mobile etc.) or to modify the number templates.

Address Line 1

Leave this field active. Don’t put anything in Initial Value as this would be the default for every new client added.

Address Line 2

Not used very often. If you do use Address Line 2, don’t put anything in Initial Value as this would be the default for every new client added.

Address Line 3

Enter your own preferred Screen Name for Address Line 3.

This might be - City, Suburb, Town or Village.

Don’t put anything in Initial Value as this will be the default for all new clients.

Use the Setup button  to add, edit or delete entries in the Address Line 3 list.  Miss-spelt names are quite common in this list and editing or deleting entries effects all clients attached to the entry. When you delete an entry you should nominate another item from the list to replace it. This updates all client records attached to the incorrect entry.

Suburbs, State and Postal Code lists

Over time, your list of Suburbs, Postal Codes (ZIP Codes) and States (Provinces) listings can develop incorrect data trends.  This is the inevitable result of human use over time, as well each contribute our own miss-typing or miss-spelling to the general chaos.  Often a data conversion or update can highlight these errors and may be a catalyst for fixing them.

You can fix these errors yourself.  However, there are a large number of data entries you need to change, RxWorks support can do it very quickly at the database level.

To fix up listings yourself:

■      Go to Options & Setup > Client > Client Address Details

■     Press the  button to get to the Configure Addresses dialog.

■     From here you can Edit, Add or Delete an entry.

■     If you delete an entry that is in use, you will need to merge it with an existing entry.  The program will prompt you automatically if this is the case.

None, Prompt or Auto?

Beside the Setup button is an Update control. Setting this to Auto allows all new entries (including misspellings) to be added to the list. Using Prompt causes a warning to be given to users who try to add an entry not already in the list. This partially controls the addition of misspellings. Using (none) disallows any new entries. This controls misspelt entries entirely but you need to be confident every possible entry is already in the list.

State/Postcode

You can enter your preferred Screen Names for these fields. State/Postcode values are linked to Address Line 3 entries and can also be edited. using the Setup button beside Address Line 3 .

Do not set an Initial Value for State/Postcode.

UK Postcode Management

The postcode management tools for the UK were expanded in Release 3.4 to allow for the update of UK postcodes.  The software can now update client postcodes that have been changed for the various UK regions, using the database of updated postcodes in the AFD Postcode software.

When you install AFD postcode software you can specify the postcode and street number when entering a new client. The software will fill in the address details automatically when you add the client and click OK. (Version 3.4 Release)

Prefix Name

Selecting Prefix Name adds a field on the Client Screen for common Last Name prefixes.

This is designed for Dutch users and allows names such as "Van Doorn" to be split into the Prefix Name "Van" and Last Name "Doorn".

Using Prefix Names will speed up client searches.  It allows you to search for this client typing "Doo" into the Last Name field.  Without this feature you would need to type "Van Doo".
