Building Relationships with the Trainers

Typically the practice has two “clients” to deal with - the owner and the trainer.  

The relationship between you and a trainer is critical to your success.  They are the main source of your business.  

The information expected from you varies from trainer to trainer.  Some want to see the owner bills before they are sent and others want to include your fees in their own bill. Others want detailed medical records for their own files. Your system must be flexible enough to cater for each situation.

Administration Tasks for Multiple Owners or Syndicates

One of the characteristics of racehorses is that there is continual change in their ownership.  It’s very common for a horse to be owned by a syndicate and for those owners to change frequently.

This causes a problem in allocating your fees to the people owning the horse at the time you give the service.  As owners can change on a daily basis, it creates an administration nightmare.  Fortunately, RxWorks keeps track of the percentage owners have, along with the start and end date of the syndicate.  We then calculate the amount that each person is responsible for at the time of the service.  And it’s all automatic.

 

Stable Names and other References

Most thoroughbreds have multiple names.  There is the legal name, the name they are called in the stable, and so on.

Searching for a horse and its records can become a problem if all you have is the legal name.  RxWorks allows for searches by any of the names contained in the horse’s record.  Records can also be accessed by trainer name, location of the horse, or the owner name.

 

Efficiency

You typically treat more patients in a day than do other veterinarians.  So it’s essential to have simple data entry.  And correct data is getting more important.  Event authorities are now asking for full medical records.  Entering details for each patient can be a very onerous and expensive task.

Why not notify trainers and owners of any significant changes in your staff, protocols or facilities. This is just one of the possible marketing activities.  You can post them on your website as well, but there is no certainty your clients will access that.  An email or personal letter has more chance of being read.
