The structure of teaching hospitals is different to most other practices.  Functions are much more departmentalized.  They depend on good staff communications as well as a solid workflow process.

We’ll now review functions in a teaching hospital that are not part of other practice types.

 

Educating Students


The faculty can setup treatment protocols for students to follow.  Use Procedures to define each task for a treatment.  They can include both the fee entries and medical history formats.  Information sheets for clients can also be attached to the protocols.  Similarly any follow-up instructions and reminders can be included.

It’s critical that medical records done by students are reviewed by a clinician.  We have included the ability to define the people who can finalize a patient’s visit information.  This means that unauthorized records will not accidently become part of a patient’s history.   Electronic clipboards can also be designed to manage the visits waiting for review by a clinician.

 

Research and Custom Reports

We have learned several things from our long association with universities.  One is that we cannot anticipate all the reports needed for research.

We include some fairly powerful query facilities as standard in RxWorks.  These are non-technical and intuitive.  However, we realize that all research needs of a university will not be satisfied with that capability. We have a solution for this.

RxWorks is developed using Microsoft SQL Server as its database.  It’s also designed to be easy-to-use and have powerful functions.  It’s a challenge to achieve both of those at the same time.  It means that the structure of the database gets to be quite complex.  Unless you are a professional developer, it’s not easy to build SQL commands to get at the information you need.  So, RxWorks has built a Data Access Module to provide you with a simplified access to the database.
We do not intend that this module is used by anyone who is unfamiliar with SQL reporting. We strongly suggest a person familiar with SQL is available to help build custom reports.

 

Workflow

Universities differ from other practices in their size and complexity.  They generally have a greater number of treatments and have more that need high expertise.  This means that functions have to be done by specialist groups or departments.

This doesn’t only apply to the medical departments.  Administration also has the same problem.

It’s essential to good patient care and client service to have efficient and consistent workflow.  

Our Clipboards are very powerful tools that support the practice’s processes.   Use them to build an Appointment Book that is intuitive and easy-to-use.  Other Clipboards can help manage movement of patients through the hospital.  We have specifically catered for many departments, each with their own timetables and needs, as well as the work flow between them.  A scheduling group can:

 

  • Schedule patient visits to different departments in the hospital.
  • Clearly see available time slots.
  • Easily see how long a patient has been waiting and where in the hospital they are.
  • Remind clients of appointments.
  • Schedule resources within the hospital.
  • Compile demographic and marketing statistics.
  • Generate daily, weekly, monthly, and annual reports for both operations and management.
  • Highlight information the client needs to know.
  • Print standard forms for registration, authorization, and admission.
  • Keep records of prospective clients and patients.

 

Processes are consistent and clearly defined.  Each patient’s location can be viewed on every workstation in the hospital. This leads to better informed staff and a smoother patient flow.
