RxWorks has spent over 20 years working with equine practices all over the world. This has taught us two important lessons.
- Software designed for small animal practices and then “adapted” for equine is inadequate.
- Equine practices are not all the same. A racetrack practice has very different needs to one looking after family horses.
From day one, RxWorks has been designed to support the activities of an equine practice. Its flexible and modular structure makes it very suitable for the needs of different practice types.
Features for your Equine Practice
Included in the program are functions that are specific for equine operations. Examples are:
- Accounting Styles – Different accounting styles that suit monthly, stud or racetrack clients.
- Automatic billing – to a referring practice or trainer. Also email and fax of case notes and invoices.
- Syndicate Billing - For horses with multiple owners, we automatically create a bill for each owner. The fees are allocated based on the percentage owned by each client. The costs can be back- or forward-dated without reentry of data.
- Ownership Tracking - Changing owners is very simple and can be back-dated. We keep a history of the horse’s ownership. Patient records are also easy to merge.
- Location Tracking - Useful for owners with horses in different locations. Lists of all horses at one stud are provided. The history of where the horse has been located is also available.
- Patient Search - Search for horses by stable name, registered name, dam, training status, etc.
- Multiple Horse Treatments – Record charges and medical notes for the same treatment provided to several horses in a stable.
- Settlement Discounts - Give settlement discounts and apply syndication fees.
Ambulatory Functions
We built a sister program to address the ability to record details for field visits. This is called Mobile Veterinarian and is run on a laptop. Charges are more accurate when they are recorded at the patient’s location. The medical records are updated at the same time and you can see the patient history instantly.
You can also draw charts for dental, skin, identification, hoof, and eye directly on the screen. They can be used for identification, lesion tracking, etc.
The main database is then updated by connecting the laptop. It can be done via the internet or through your practice network. Any data that was changed at the office is also updated on the field computer at the same time. This is called synchronization.
Efficient Data Capture
Your time is at a premium when on a field visit. In order to make best use of that time when entering visit details, you need pre-defined sets of treatments. In RxWorks they are called Procedures. They not only improve efficiency but also dramatically reduce the problem of “missed” charges.
Performance Pack was developed to address that need. It includes hundreds of pre-built Procedures for the most common treatments. It also includes a powerful profit-based fee management tool that makes sure that the fees are fair to your client as well as meet your profit goals.
Good patient care and a good practice reputation depend on quality communication with the client. Some recalls, reminders and documents are based on medications and other products. It is essential that they are setup accurately. Unfortunately, it’s a task with a low priority for staff and does not get done. We have built and maintain a Veterinary Supply Database to remove the risk.
The Recall Manager module takes the risk out of missing important client follow up calls. RxWorks provides a list of calls to be made for the day for each of the staff. It also provides management with the tools to ensure that none are missed.
Proactive Medicine
HealthCare Manager is designed for those practices that look after the long-term health of patients. It is an important tool in helping increase the standard and consistency of care.
Several studies of client preferences show that they are dedicated to maintaining the health of their horses. Proactive wellness plans are high on their wish list.
Communicating the value of your plans to the client is vital to improved patient care. It has also been shown that when you include all of your staff in the process, you improve your chance of getting the client to agree with your plan.
HCM’s goal is to help manage the whole process. It also measures how successful you are in getting acceptance and even more important, why you are not.
